New Approval Workflow Engine in IdStory Identity Manager
In IdStory Identity Manager version 15, we are introducing our own approval workflow engine. Approval processes are now configured directly in IdM, visually, with no dependency on external tools and no developer required. For teams managing identities and access, this is the biggest change to approval handling in years.
What problem it solves
Until now, approval processes in IdM could not be edited directly in the graphical interface. Definitions lived in XML outside IdM, were created in an external BPMN editor, and every change required a developer.
What’s new
The new module is a native part of IdM. Approval processes are modeled visually, stored in the database, and managed centrally through a single agenda.
The development required hundreds of man-days of implementation, testing, and migration work. For you, this means we can respond to new approval-related requirements significantly faster, and that product development is no longer constrained by what an external library allows.
The module works with concepts that make natural sense in IdM: manager, role guarantor, technical account guarantor. These roles are combined within a process like building blocks, with no programming required. Beyond the classic role assignment, you can now also approve role parameter changes, role removals, recertifications, role creation and deletion, business role definition changes, and technical account creation. We will be adding more event types over time.
Customer benefits
- Bulk approval of multiple tasks at once
- Escalating reminders with increasing urgency (for example after 7, 14, and 21 days, eventually with manager notification)
- Reusable workflows, where one defined process can be assigned to multiple event types
- Approval processes are configured by an IdM administrator or implementation partner directly in the editor, with no developer involved
Conclusion
Access approval is moving from development territory into the territory of configuration. Changing a security policy or adjusting an approval process now takes hours, not weeks. For deeper technical details, the documentation of the new workflow engine is available.
